Information Management Officer
& Documentation

The Information and Documentation Management Officer or hereinafter abbreviated to PPID has the function of managing and conveying documents owned by public bodies in accordance with the mandate of Law 14/2008 concerning Openness of Public Information. With the existence of PPID, the public can submit requests for information more easily and without complications because it is served through one door. Information and Documentation Management Officer (PPID) is an official responsible for storing, documenting, providing and/or providing information services in public bodies.

Based on this, the Bali Tourism Polytechnic as a Higher Education Institution under the auspices of the Ministry of Tourism and Creative Economy/Tourism and Creative Economy Agency of the Republic of Indonesia, always supports and implements transparent information management for the public by forming the Bali Poltekpar PPID Working Group.

BACKGROUND OF PPID BALI TOURISM POLYTECHNIC

The Information and Documentation Management Officer or PPID for short has the role of managing and conveying documents owned by public bodies in accordance with the mandate of Law No. 14 of 2008 concerning Openness of Public Information. Based on Law No. 14 of 2008, Openness of Public Information aims to realize good and responsible governance, and through the application of the principles of accountability, transparency and supremacy of law as well as involving public participation in every public policy process. Through PPID, the public will be able to submit requests for information and objections to information more easily because it only goes through one door.

The Bali Tourism Polytechnic always supports and applies openness of public information by applying the principles of good governance as part of the Bali Tourism Polytechnic’s vision and mission. Openness of public information at the Bali Tourism Polytechnic depends on the work units of each unit within the Bali Tourism Polytechnic in managing public information and documentation for the community. Based on this, guidelines for managing public information and documentation within the Bali Tourism Polytechnic which are under the auspices of the Ministry of Tourism and Creative Economy/Tourism and Creative Economy Agency of the Republic of Indonesia were prepared.

The formation of the PPID Working Group is clear evidence of the seriousness of the Bali Tourism Polytechnic in providing excellent service to the community. The Working Group is responsible for storing, documenting, providing and/or serving information in public bodies. The Working Group is a public information management staff and serves the community regarding information needs and information objections within the Bali Tourism Polytechnic.

 

TASK

Based on the Decree of the Minister of Tourism of the Republic of Indonesia No. SK.113/OT.001/SESMEN/KEMPAR/2018 The duties of PPID are as follows:

Establish operational procedures in the context of implementing PPID’s duties and authority;
Determine the classification of excluded Public Information and/or changes thereto, with the approval of PPID superiors;
Determine written considerations for every policy taken to fulfill everyone’s right to Public Information;
Black out or obscure excluded Public Information and the reasons;
Create, maintain and/or update the Public Information List periodically;
Coordinate in order to:
Collection of Public Information in each echelon I unit;
Provision of Public Information services carried out in accordance with statutory provisions;
Data collection on Public Information controlled by each echelon I unit, in the context of creating and updating the Public Information List;
Developing the capacity of functional officials and/or information officers in order to improve the quality of Public Information services; And
Providing written reasons for the exception to Public Information clearly and unequivocally, in the event that the application for Public Information is rejected;
Submit Public Information service reports to:
PPID supervisor every month; And
Central Information Commission at the end of the fiscal year.

 

AUTHORITY

Reject a request for Public Information in writing if the Public Information requested includes excluded and/or confidential Public Information, accompanied by reasons and notification of the rights and procedures for the Public Information Applicant to submit an objection to the rejection; And
Assign functional officials and/or information officers to create, maintain and/or update the Public Information List periodically
